How to Process a Refund
All refunds must be attached to an original sale. You cannot refund more than the original transaction amount.
Step-by-Step Instructions
Locate the Sale: Go to the Payment Manager or Payers.
Open Details: Click the transaction to view Payment Details.
Start Refund: Scroll to the bottom and click the Refund button.
Verify Amounts: Check the top of the page for the original total and any previous partial refunds.
Enter Amount: The "Amount to Refund" box defaults to the full total. Manually adjust this for a partial refund.
Receipt & Notes: * Enter the client's email address to send them a receipt.
Add internal details in the Refund Notes field.
Finalize: Click Process.
Voiding a Refund
If you make a mistake, you can undo a refund before it settles (typically same-day).
In the Payment Manager, set the Date Range to Today and click Search.
Find the refund (filter the Type column by "Refund" to find it faster).
Click the transaction, scroll to the bottom, and click Void.
Confirm by clicking Void again in the pop-up.
Pro Tip: Same-Day Full Refunds
If you refund a sale in full on the same day before it settles, the system automatically processes it as a void. This cancels the original charge entirely, saving you processing fees and ensuring the client's card isn't debited.
